1. Information We Collect
- Institution registration details (name, contact info, organization type, subscription tier)
- User credentials (names, email addresses, roles, securely hashed passwords)
- Operational data (geolocation/GPS, timestamps, form submissions, survey responses, uploaded media/files, and related metadata)
- Device & usage data (device model/OS, IP address, browser type, log data, and audit trails for security and compliance)
2. How We Use Data
- Provide, operate, and maintain the platform and its features
- Authenticate users and institutions, and issue licenses
- Support field data collection, workflow automation, and reporting
- Enable photo/video/GPS evidence capture for institutional programs
- Ensure compliance with contractual and legal requirements
- Improve performance and security through analytics and troubleshooting
- Communicate with institutions and respond to support inquiries
3. Data Security
We implement industry-standard security practices to protect your information, including:
- Encryption at rest and in transit
- Role-based access controls and least-privilege principles
- Regular security audits and reviews
- Secure storage using trusted cloud providers (e.g., Google Cloud/Firebase)

By default, your institution’s data is securely stored and managed by Tekuwami (Aries Finance and Management PLC) on our cloud infrastructure.
If your institution has a special agreement for self-hosting (Bring-Your-Own-Cloud/“BYOC”), storage and security configuration are the
institution’s responsibility.
4. Sharing & Disclosure
We do not sell personal or institutional data. We may share data only:
- With service providers (e.g., hosting, analytics, payment processing) under confidentiality and data-protection terms
- With your institution’s administrators for account management and compliance
- With regulatory authorities when required by law
All sharing respects your institution’s selected privacy tier and contractual terms.
5. Mobile App Permissions
The Tekuwami mobile application may request:
- Camera — capture/upload photos or video evidence as part of submissions
- Location — record GPS coordinates for field activities and reporting
- Local storage — temporarily cache media before upload and support offline work
You can manage permissions in your device settings. Some features may not function without certain permissions.
6. Your Rights
Depending on your location and institutional policy, you may be able to:
- Access, export, or correct your personal data
- Request deletion or restriction of data, subject to legal/contractual obligations
- Object to certain processing activities

7. Data Retention
Submissions, media, and logs are retained for as long as required by your institution’s contract or applicable law.
Institutions may request deletion in accordance with subscription terms and compliance rules.
8. Policy Updates
We may update this Privacy Policy from time to time. Institutions will be notified of any material changes at least
30 days before they take effect, via email or platform notice. Continued use after the effective date
constitutes acceptance of the updated policy.

By default, Tekuwami securely stores and manages institutional data on our cloud infrastructure.
For institutions that elect self-hosting/BYOC, Tekuwami provides the platform software while the
institution assumes full responsibility for its hosting environment, including configuration, access control,
backups, security, and legal compliance. Tekuwami is not liable for breaches, loss, or corruption arising from
an institution’s self-hosted environment. While Tekuwami implements industry-standard safeguards, no digital
system can guarantee absolute security. Use of Tekuwami is subject to institutional agreements and applicable law.
